About the Role

We are seeking a Contracts Coordinator to help manage and administer a range of high‑value operational service contracts across the Capital Coast, Hutt Valley (CCHV), and Wairarapa Districts. Contracts cover essential services such as patient food delivery, cleaning, waste management, car parking operations, and more—services that keep our hospitals functioning at their best. The salary band for this position is $60,000 - $70,000, depending on experience. 

In this role, you’ll be at the heart of our contracted services, ensuring we deliver efficient back-end operation to all stakeholders. You’ll handle day‑to‑day coordination and administration, working closely with internal teams and external service providers, including clinical managers, contractors, and members of the public.

As our contracts coordinator, you will:

  • Oversee the daily delivery of key service contracts
  • Support the implementation and maintenance of contract systems while working closely with service providers.
  • Provide administrative support across our wider business

This role is based primarily across Hutt Valley Hospital with a requirement to travel to Wellington and Kenepuru Hospitals regularly as required, and occasional travel to Wairarapa.

About the Team/Service Location

The Contracted Services team are responsible for managing a number of high value and high importance contracts across the Districts. We have built a positive, ‘get things done’ reputation amongst our clinical and non-clinical stakeholders with our aim being to support them as effectively as possible.

This role is primarily based at Hutt Hospital, and Kenepuru Hospital, with some time spent at Wellington regional Hospital and Masterton when required.

The team informs the organisation on matters such as best practice, cost of operating, project work, how our services can help to improve organisational/patient outcomes and others. The team both leads and enables change in order to maintain positive service delivery. The varied nature of the contracts managed by our team means that one minute you may be looking at process and policy that could save the organisation millions, and the next minute, what type of air freshener scent to go in the public facilities. There is always something interesting to keep you occupied.

Our team members have built a great team culture over the last 18 months with a focus on service delivery, adaptability, collaboration, inclusion, communication, learning and positivity. This role works alongside and supports two Senior Contracts Coordinators. The role reports directly to the Head of Contracted Services who encourages open discourse and independent thinking.

About you

To be successful in this role, you’ll bring:

  • 2–3 years’ experience in office administration and contract coordination
  • Strong analytical thinking, problem‑solving ability, and attention to detail
  • Excellent written and verbal communication skills for engaging with key stakeholders
  • High standard of customer service and service delivery
  • Strong time‑management and organisational skills, with the ability to work under pressure
  • Able to build effective relationships and work autonomously
  • Treats information with sensitivity and confidentiality
  • Proficient in the full Microsoft Office Suite
  • Accurate data entry skills
  • Thrives in a busy, fast‑paced, and changeable environment
  • Friendly, solutions‑focused attitude with an adaptable, agile mindset
