Integrated Operations Centre (IOC) Administrator
Location: Wellington Regional Hospital
Contract: Fixed Term - Part time (0.9 FTE)

About the role
We’re looking for someone to join us in our Administration team based in the Integrated Operations Centre (IOC) at Wellington Regional Hospital. You’ll be joining a dedicated, supportive and friendly team of clinical and non-clinical staff to support the day to day running of our nursing Bureau and wider IOC team. This position operate on a rotating roster, working between 0700hrs – 2230hrs Monday to Friday and 0930hrs to 1800hrs on the weekends.
As an IOC Administrator your role will be to manage the placement of nurses, healthcare assistants and midwives within the organisation, provide coordination of National Travel services and to maintain IOC systems and processes and provides a customer service based approach to the service provided. At times you’ll also provide administrative support to the Duty Nurse Managers, and work with them to ensure all staffing options are explored in times of shortage.
As an IOC Administrator, your role will include (but is not limited to) the following:
- Providing high quality administrative support to the Bureau and wider team
- Allocation of staff to requesting wards
- Uniform fitting and procurement
- Continuous improvements to processes and procedures to enhance the administration service provided
- Establishing and maintaining positive working relationships across the team and organisation
- Providing excellent customer service
- Coordination of National travel Assistance
About the Team/Service Location
The IOC is responsible for the effective operational management of the 24 hours/7 days hospital service delivery at both Wellington Regional Hospital and Kenepuru Hospital. The IOC supports clinical teams, systems, processes and resources that facilitate safe and effective service delivery across the organisation.
About you
To be successful in this position you will need to demonstrate the following:
- A high level of Word Processing skills, with demonstrated attention to detail and accuracy
- Ability to maintain patient and office confidentiality in line with the Privacy Act.
- Previous experience in providing administrative support to a team.
- Proven experience in a people-facing administrative, customer service or call centre role
- Working knowledge of computer programs including Word, Excel, Outlook and PMS.
- Process driven with sound knowledge of office administration systems and procedures
- Previous experience in a health environment is desirable
