Outpatient Administrator
Location: Wellington Regional Hospital
Contract: Fixed-term Maternity Cover to July 2026, full-time

About the Role
This is a front-line role providing administration support to staff in the Pain Management Service, as well as receptionist services to all visiting patients and whanau.
Some of your duties will include:
- Providing exceptional customer service to patients attending outpatient appointments
- Schedule First Scheduled Appointment (FSA) appointments for patients
- Appointment booking and rescheduling
- Answering all telephone queries both external and internal
About the Team/Service/Location
The Patient Administration Service works across the District to support a patients journey from referral through to discharge. PAS is comprised of several difference services:
- Outpatient Booking Centre, Call Centre and Atrium
- Clinical Typing & Team Support
- Ward Administration & Elective booking
- Outpatient Reception and Administration Support
- Emergency Department and Radiology
Each area has a dedicated Team Leader to provide one point of contact across the group. Our collective goal is to provide efficient and effective administration support that enables clinical staff to focus on providing quality care to patients. This role is part of the Outpatient Reception and Administrative Support team and is situated within the Pain Management Service at Wellington Hospital. The Pain Management Service differs from the majority of other Outpatient Areas as we book our own FSA’s and liaise directly with clinicians, whereas most other areas have a dedicated Booking Clerk. Because of this you will be working closely with both clinical and non-clinical staff to ensure the needs to the service are met.

Skills and experience we are looking for:
- Able to work autonomously
- Excellent attention to detail and ability to multi-task
- Excellent telephone manner ability to attends to the matters arising from phone queries in a prompt and courteous manner, minimising ongoing issues
- Ability to maintain open, effective and appropriate communication with direct team, other teams, clinical staff and patients
- Able to prioritise your tasks for the day, to use different computer programs such as Microsoft Word and Excel
