About the Role

Outpatients is a busy ambulatory area servicing the wider Wellington region across both Wellington Regional Hospital and Kenepuru Community Hospital. The department supports patients and whānau through their outpatient journey, providing access to numerous specialist clinics and services.

We are looking for an Outpatients Clinic Administrator who will provide essential operational and administrative support across both sites. This role is responsible for coordinating complex room scheduling across 67 clinical room spaces, managing room booking requests, providing support and working closely with the CNM, ACNM, nurses, clinicians, and the wider Outpatients team to ensure clinics run safely and efficiently.

You will oversee a specialised room rostering system, support staff roster updates, manage administrative workflows, and assist with on boarding new staff into key clinical systems. Strong Excel knowledge is preferred due to the complexity of the rostering tools. Being a team player with excellent communication skills is essential, as this role sits at the centre of daily outpatient operations. The salary range is $76,705 - $84,754

About you

The successful candidate will be an organised, proactive administrator who enjoys working in a dynamic, fast-paced environment. You will demonstrate:

  • strong communication and relationship-building skills
  • confidence working with complex Excel-based rostering and scheduling systems
  • the ability to prioritise and problem-solve in a busy clinical setting
  • professionalism, accuracy, and attention to detail
  • a collaborative approach to supporting CNM, ACNM, nurses, clinicians, HCAs and wider outpatient team.

Experience coordinating bookings, rosters, or logistics in a health or service environment is advantageous but not essential. A willingness to learn and adapt is highly valued.

You will play an important role in ensuring operational continuity, supporting outpatient workflow, and contributing to quality improvement initiatives across both sites.
