Ward Administrator

Location: Wellington Regional Hospital

Contract:  12 months fixed-term, part-time (15 hours per week)

Health New Zealand | Te Whatu Ora is firmly grounded in the principles of Te Tiriti o Waitangi and is dedicated to serving all New Zealanders. Through integration and collaboration, we’re building a health system underpinned by partnership, equity, sustainability, whānau-centred care, and excellence.

About the role

As a Ward Administrator, your primary role will be acting sole charge to consistently deliver friendly and professional front of house reception duties for the ward. You will provide your top-class customer service to all enquiries from every source, whilst presenting accurate and timely data entry, record management and collating.

You will create and maintain open lines of communication with reporting lines and all other teams you liaise with to ensure your tasks are completed effectively. This role is an invaluable asset to our clinical teams and the tasks you perform are essential for our wards to run smoothly.

This role is worked Monday - Friday, 4:00pm - 7:00pm, so is a perfect opportunity for someone looking for evening work only. The full salary range for this role is $72,035 - $79,573 (pro-rated).

About the Team/Service/Location

This role is situated in the wards, so your immediate team is the ward you are working on. You will be working with clinical staff and other health care providers, administratively supporting them and your ward’s needs.

You will also be part of the greater Ward Administration team who staff all other wards. The work you do is mainly replicated across all our wards so having your fellow colleague nearby for support and trouble-shooting works perfectly.

The overarching service we report to administratively is Patient Administration Services (PAS). PAS is made up of 5 other administration clinical support areas: Booking Centre, Outpatient Reception, Call Centre, Clinical Typing and Emergency Dept.

Our patient’s journey generally begins or is completed within these departments so ensuring all our data capture is entered efficiently and correctly is imperative for continuity in our patient’s current care and future presentations.

About you

We are looking for a team player who has:

  • Proven customer service skills
  • Robust, adaptable and lateral thinking, who can easily multitask
  • Up to date knowledge of computer packages to maintain all data entry effectively and efficiently.
  • Proactive motivation to responsibly troubleshoot through the tasks asked of them.
  • Ability to work autonomously and promptly learn new skills independently
  • Ability to work well under pressure and in an everchanging environment, while reliably maintaining all standard administrative duties
